Why no-show rates drop from 40% to 10% with a 3-touch reminder cadence

Most law firms accept that 4 in 10 booked consultations will no-show. They build the assumption into their staffing — book 10 to keep 6 attorneys busy. That is thousands of dollars of attorney time billed to nobody.

A properly built reminder cadence drops no-show rates to 8-12% reliably. The build is simple. The discipline is in the cadence and the copy.

The 24h / 1h / 15min cadence

Three touches, each timed for a specific psychological moment.

T-24 hours — confirmation reset. SMS the day before. "Tomorrow at 2pm — your free 30-min consultation with attorney {{first_name}} at {{firm_name}}. Reply CONFIRM, RESCHEDULE, or CANCEL." Catches the people who booked 2 weeks ago and forgot. About 15-20% of bookings reschedule or cancel here — which is GOOD, you reclaim the slot.

T-1 hour — practical reminder. SMS includes the meeting link or address: "Your consultation starts at 2pm. Zoom: {{link}}. Reply if you need anything." Recovers another 5-10%.

T-15 minutes — friction-killer. Single line. One tap to join. The difference between "they meant to log in but lost the email" and "they just clicked the link in the SMS".

What no-show recovery looks like

If a prospect still no-shows: T+1 hour SMS to rebook, T+24 hours different angle, T+5 days email with value-add. Most firms recover 30-40% of no-shows through this sequence.

Why most firms get this wrong

Three mistakes: email-only reminders (95% SMS open vs 25% email); cadence too aggressive (3 touches is the sweet spot, not 5); no reschedule path in the SMS.

The math

Small firm: 30 booked consults/month at 40% no-show = 18 attended. With proper cadence: 30 at 10% no-show = 27 attended. Nine extra attended consults/month. At 25% sign rate and $5,000 average matter, that is $11,250/month captured.
